A dashboard is a visual display that brings together multiple metrics, charts, and indicators to give an audience a summary view of a subject. Dashboards are useful tools — but they require careful design to avoid misleading, overwhelming, or confusing their audience.

What a Dashboard Is

A dashboard presents selected metrics and visualizations on a single screen or page, organized to support a specific purpose. Dashboards are not automatically real-time — many are updated daily, weekly, or monthly. The update frequency should always be visible to the reader.

Dashboards serve different purposes for different audiences:

  • Operational dashboards support day-to-day monitoring — tracking service volumes, response times, or current status.
  • Strategic dashboards support longer-term decisions — tracking progress toward goals, comparing periods, or identifying trends.

Key Performance Indicators

A key performance indicator (KPI) is a metric that has been selected because it directly measures progress toward a specific goal. Not every metric is a KPI. A KPI requires a defined target, a baseline, and a clear definition of what is being measured.

A KPI without context can mislead. "Program attendance: 450 visits" tells the reader very little without knowing the target, the prior period, or the typical range. Adding context — "450 visits this month, target 500, up from 380 last month" — makes the number meaningful.

Metric Definitions and Data Freshness

Every metric on a dashboard should have a clear definition. What counts as a "visit"? Does it include cancelled appointments? Are walk-ins counted separately? Undefined metrics invite misinterpretation. A data dictionary or tooltip explaining each metric reduces confusion.

Dashboards should display the date the data was last updated. Stale data presented without a date can lead to decisions based on outdated information.

Layout and Hierarchy

Place the most important metrics where readers look first — typically the top-left area of the page. Group related metrics together. Use visual hierarchy — size, weight, and position — to signal importance. Avoid placing equally sized elements in a grid when some are more important than others.

Avoiding Metric Overload

More metrics do not create more insight. A dashboard with thirty charts is harder to use than one with six well-chosen metrics. Ask: what decisions does this dashboard support? Include only the metrics that directly answer those questions. Remove metrics that are interesting but not actionable.

Vanity Metrics

A vanity metric looks impressive but does not support decisions. Total website visits, total social media followers, or total program registrations may be large numbers — but without context, targets, or trends, they do not tell the reader whether things are going well or poorly. Focus on metrics that connect to outcomes.

Privacy and Small Groups

Dashboards that display data about people must consider privacy. When a metric represents a small group — fewer than five or ten individuals — the displayed value may allow identification of specific people, even when names are not shown. Apply suppression or rounding rules for small counts. Document these rules so readers understand why some values are not displayed.

Accessibility

Dashboard accessibility follows the same principles as chart accessibility: sufficient contrast, redundant cues, readable labels, and content that does not rely on colour alone. Interactive filters and controls must be keyboard-accessible. Status indicators (red/yellow/green) must include text labels, not only colour.

Common Mistakes

  • Displaying metrics without targets, baselines, or context.
  • Not showing the data update date.
  • Including too many metrics, making the dashboard hard to use.
  • Using undefined metrics that readers interpret differently.
  • Displaying small-group counts that may allow identification of individuals.
  • Using colour-only status indicators without text labels.
